Main Purpose/Scope:

Reporting to the Lodge Manager, lodge clerical staff are responsible for general administrative and clerical support for the lodge.

Key Responsibilities and Duties:

  • Provide clerical support to, and under the direction of, the Manager, including, but not limited to:
  • weekly preparation of accounts payable documents for Manager's review and approval
  • assisting with the clerical preparation of monthly staff schedule
  • data entry of employee schedules into electronic timekeeping system
  • regular preparation of petty cash reports for review and approval by Manager
  • photocopying, faxing, and filing as required
  • receiving and sorting incoming mail
  • data entry pertaining to residents and/or staff
  • administration of staff forms and health and safety forms
  • administration of meal vouchers and rental receipts including cash submission preparation for Manager's review and approval
  • administration of suite cleaning schedules to account for vacant suites
  • preparation of monthly documentation including meeting minutes, water temperature forms, etc.
  • maintenance of Resident Daily Checklist and Resident Sign-Out logs
  • other clerical duties as directed
  • Provide reception services for the facility, including:
  • security at main entrance of building, including sign-in book for visitors and contractors
  • answering and appropriately directing incoming phone calls
  • providing information to residents and guests as required
  • greeting visitors and appropriately directing them
  • providing informative scheduled and unscheduled tours of facility as required, and keeping a log of tours
  • Program entry codes for doors and enter key fob data for residents, if applicable
  • Answer/handle emergency calls
  • Other duties as required

Job Specifications:


  • Minimum Grade 12 or equivalent
  • Diploma/certificate in Business Administration or equivalent experience in a related field
  • WHMIS training required
  • First Aid and CPR may be required


  • Clerical and/or customer service experience


  • Comprehensive knowledge and experience working with Microsoft Office Suite, including Outlook e-mail, and internet
  • Keyboarding proficiency


  • Ability to communicate clearly and effectively in written and spoken English
  • Ability to manage situations appropriately with confidentiality, tact, and sensitivity
  • Ability to multi-task while working in a fast paced environment
  • Excellent time management and organizational skills
  • Ability to work effectively independently or within a team

  • Complete work-related training as required
  • Support and adhere to all current and future Foundation policies and procedures
  • Support and adhere to all federal and provincial legislation as it applies to the Foundation including, but not limited to, Alberta Housing Act, Freedom of Information and Protection of Privacy, Protection for Persons in Care Act, Occupational Health and Safety, and WHMIS
  • Uphold all applicable standards including, but not limited to, Supportive Living Accommodation Standards and Continuing Care Health Service Standards (where applicable)
  • Participate in regularly scheduled staff meetings
  • Ensure compliance with dress and grooming policy to project and maintain a professional image
  • Mobility to work in multi-storey building and physical stamina to lift and carry up to 10 kg.
